Cancellation Policy & Refund Terms

The safari industry involves advance payments to lodges, permit authorities, transport providers, guides, and other operational partners. Because of this, cancellation policies are strictly governed by third-party supplier terms.

**All cancellations must be submitted in writing** and are only considered effective once acknowledged by **All in Africa Safaris USA LLC** or **All in Africa Safaris (U) Ltd**.

### Voluntary Cancellation by the Client

For any cancellation made **90 days or more before the safari start date**, refunds shall only be processed based on funds successfully recovered from our third-party partners, including but not limited to lodges, permit authorities, transport providers, and activity operators.

We do **not guarantee full refunds**, as many safari arrangements involve non-refundable commitments secured in advance. Any refunded amount will be calculated after deductions for unrecoverable costs, administrative expenses, payment processing fees, and operational commitments already made on behalf of the client.

For cancellations made **less than 90 days before arrival**, refunds are generally **not available**, unless exceptional recoveries are obtained from suppliers and partners.

### Refund Conditions

Refunds are issued **only to the extent that our service providers, partners, lodges, permit offices, and activity suppliers provide refunds to us**. If accommodations, permits, transport, or other safari components are non-refundable to us, those amounts cannot be refunded to the client.

In cases where only a partial amount is recovered from suppliers, **only the recovered portion will be refunded**, less any operational or administrative expenses already incurred.

### Company Responsibility

Where cancellation or failure to deliver booked services occurs **directly due to the fault, negligence, or inability of All in Africa Safaris to perform confirmed arrangements**, we shall work in good faith to provide either an alternative arrangement, postponement, or refund based on recoverable costs.

### Force Majeure, Calamities & Unavoidable Events

No full refund shall be guaranteed in circumstances beyond our reasonable control, including but not limited to natural disasters, pandemics, disease outbreaks, war, terrorism, political instability, border closures, government restrictions, airline disruptions, severe weather, civil unrest, or any catastrophic event (“Force Majeure”).

In such situations, once we have secured and accounted for payments already committed to lodges, permits, transportation, staff, and safari logistics, **any available remaining funds may be partially refunded at our discretion**, which may include only a percentage of the trip cost necessary after retaining operational reserves required to sustain safari commitments and business continuity.

Where possible, clients may instead be offered **trip postponement, travel credit, rescheduling, or alternative safari arrangements** rather than financial reimbursement.

### Pre-Booked Safari Components

Clients acknowledge that safari bookings often involve pre-purchased and prepaid services including accommodations, gorilla permits, park fees, vehicle reservations, and logistical arrangements. Once these services have been booked and confirmed, their refundability is entirely dependent on the policies of the relevant third-party providers.
